    SUBJECT: Spring Cleaning, Meet your New Fleet Coordinator and Reminders

    Copier Staff Updates:

    鶹Graphics Department welcomes Mr. Drew Combs as the new Print Fleet Coordinator. Mr. Combs brings with him several years of print fleet management experience, extensive knowledge of cyber security and cyber threats, as well as some MFP technical experience.      De-Clutter your Device:

    Please allow 12” of space around your machine, especially in paper output areas. These trays lower and lift as they catch paper and obstructions near these trays will prevent the finishers from lowering properly and will result in paper jams and costly damages to the device.

                    

    Move/Relocation Requests:

    鶹is prohibited from relocating any Xerox device. A machine relocation is to be requested by completing the Xerox Move Request Form and emailing it to drcombs@dallasisd.org or copierinfo@dallasisd.org.

    24/7 Power-On:

    All Xerox devices should remain powered ON 24/7 and connected to the 鶹network. For technical support, meter reads, and auto-replenishment to function most efficiently, these devices must always remain powered on.

    Toner:

    The auto-replenishment feature on the Xerox devices is temporarily set to replenish your device at 50% toner levels. If you a expecting a large print, heavy ink coverage, or lots of print traffic, please place a manual order with Xerox Supplies by emailing your toner request and serial number to: XBSSW-SATXSM@xerox.com. If this is an emergency or you are unable to print, please email Drew Combs- Print Fleet coordinator, at copierinfo@dallasisd.org and or drcombs@dallasisd.org

    SUBJECT: Canon Recovery Schedule

    The Canon pick-up process will begin September 26th and will continue until all Canon Color devices on the fleet schedule are recovered. We estimate this would take up to four weeks. Only devices listed on the link below will be recovered. The asset recovery company is not permitted to remove devices that are not on the pick-up schedule. Canon Color MFPs NOT on the spreadsheet for recovery, are likely district-owned and are NOT part of the district-wide fleet contract.

    Please prepare for your pick-up by placing all consumables, toners, and supplies on top of your machine and provide a clear safe path for the removal of the device. We are eager to recover these machines as quickly as possible. It is possible that your device could be recovered sooner than scheduled.     SUBJECT: Xerox Equipment

    NETWORK AND CONNECTIVITY

    Xerox machines must remain powered on at all times and remain on the network in order for auto-replenish, IT support, and papercut features to be the most effective. If your device is not on the network, please email the device's model and serial number to Linda Richardson-Taylor at lrichardsontaylor@dallasisd.org to request connectivity to the District's network.  

    SUPPORT WITH EQUIPMENT SUPPLIES

    A nationwide supply chain issue is affecting the availability of consumables for ALL multifunction print devices. Staples, toner, cleaning cartridges/waste containers, and fuser modules are all on backorder. Staples, Cyan, Yellow, and cleaning cartridges/waste containers are the most affected and harder to replenish. Please be mindful of this when deciding to print in color.

    SUPPORT WITH TONER SHORTAGES/BACKORDERS

    If your Xerox equipment is not functioning due to a lack of any of these consumables, please, contact the Graphics Department immediately for alternative solutions to these challenges.

    Due to this on-going national toner shortage (COVID ERA) below, are alternative solutions to offset the demand for backordered supplies.

    • Color Limitations: Principals, Directors, Managers, ED's and Supervisors may restrict color access temporarily or to certain users while the supply catches up with the demand. To implement these types of restrictions, please email your request to graphicsinfo@dallasisd.org 
    • Note: the above restrictions mean that the affected users will not have "any" color access until re-added to the color list.
    • Staples: The staple cartridges have no expected replenishment date. When possible, please opt for using a desk stapler. 
    • Machine Swapping: When possible and if applicable, move cartridges between machines to keep at least one color machine fully operable. 
    • Low Toner Alerts: Continue using your machine past the "low toner" or " replace toner" alert. This is a safety feature set in place to remind you to begin your manual replenishment efforts. 
    • Auto-Replinish:This feature is automatic as long as your device is connected to the 鶹network. While this feature is very useful, the national supply shortage cannot keep up. Please place your toner orders in manually as soon as you receive your last toner replacement by calling or emailing Xerox Support.

    Please place equipment service calls immediately and for any reason. Open tickets allow Xerox, 鶹IT, and Graphics to be notified of your issues and provide quick remedies and alternate print solutions.

    COPIER BADGES
    Please continue to use previous year’s copier access badges. These cards will continue to work on your new equipment.

    Overlapping name issues are common and happen when a new card with the same card number is accidentally assigned as a security badge to another user. This can be resolved quickly by emailing the card number, and the FULL names of both the card holder, and the name populating on the screen to the Graphics Department at copierinfo@dallasisd.org or graphicsinfo@dallasisd.org.

    To order additional blank cards, please complete the COPIER BADGE ORDER FORM  and attach the completed form to your internal requisition. If your building is secure access, these badge requests must go through 鶹Police/Security.

    New Card Users/Employees: Your card will need to be registered on the new equipment ONE-TIME following the Badge Registration instructions. 

    XEROX MOVE REQUESTS
    鶹is PROHIBITED from moving any Xerox equipment.

    Please complete the Xerox Move Request Form and email it to copierinfo@dallasisd.org to submit your move request. Moves can take 3-7 business days depending on how full the mover's schedule may be. If this is an urgent move request, please let us know in the email, so we may expedite your request.

    Update on transition to Xerox equipment

    Xerox machines that replaced the Canon printers/copiers have been delivered to their locations and should be functional. We understand that there have been some challenges and are working to resolve them. We appreciate your patience and understanding as we finalize the transition to the new equipment.

    Support with equipment supplies

    Supply chain issues are affecting the availability of consumables for the Xerox machines. Staples, toner, cleaning cartridges, and fuser modules are on backorder.  Toner backorders are expected to catch up with demand before any of the other consumables.

    If your Xerox equipment is not functioning due to a lack of any of these consumables, please, contact the Graphics Department immediately at copierinfo@dallasisd.org for alternative solutions to these challenges.

    Support with other issues

    If you are experiencing a malfunction or service interruption with your Xerox copier/printer for reasons other than consumables, you are encouraged to submit a service request by emailing the Xerox support team at XBSSW-SATXSM@xerox.com or by calling (469) 702-4059.

    Location of equipment

    You are asked not to move or relocate the Xerox equipment that has been delivered to your department or campus. All machine move requests should be made through Graphics by emailing a completed Move Request Form to copierinfo@dallasisd.org.

    Canon color equipment

    It is important that Canon color equipment is not being used and is disconnected. Use of the equipment incurs additional charges and continues to delay finalizing the contract with Canon as well as the scheduling of equipment pick up. A pickup schedule for the Canon equipment will be available once the contract obligations with the company are fulfilled. The Graphics Department will email the schedule directly to departments and campuses once it is available. Canon will make contact the day before the scheduled pickup date to confirm access to the building. Please ensure that all Canon consumable supplies are placed near the machines to help with the pickup process.

    Canon Color Round-up: The Canon Contract is set to expire July 2022. We anticipate pick-ups to begin in August. Please standby for a Canon pick-up schedule. Keeping the machine in good condition through proper handling will avoid unexpected maintenance, repair or replacement fees.

    All equipment should remain powered on 24/7.

    • Supplies are auto replenished, and meter reads are automatic as long as machines remain powered ON and connected to the network.
    • Xerox Copiers are LEASE TO OWN. Excessive opening and closing of the paper cassette drawers create wear and tear that could damage the drawers, sensors, and increase paper jams. Proper machine handling will avoid unnecessary maintenance and repair fees.
    • Avoid paper jams and service calls by storing paper flat in cool dry areas to prevent humidity spoiling the paper.
    • SANITIZING YOUR EQUIPMENT: Avoid directly spraying or pouring sanitizing liquids on the copier equipment. All cleaning aids should be applied to a cloth and used to gently wipe the machine’s surfaces.
    • DO NOT RELOCATE COPIERS Doing so would incur an IP address change and will cause the copier to be unable to communicate to print driver and go off-line. This will cause the badging system and secure print to fail and lock up the machine with an off-line network communication error.

Due to the high demand of copier access badges, we have restricted access to the badge request form sent out last week while we catch up on the pending requests. We will have a new form ready next week to request badges for new hires and replace damaged/lost cards.     PHASE I: Transition
    Subject: DISTRICT COPIER UPDATE: PHASE I - TRANSITION

    The delivery of Xerox equipment began on July 12 and will continue in the coming weeks. If power supply is compatible, your machine will be functional and ready to use upon delivery. If electrical upgrades are needed for your equipment to be fully functional XEROX will still deliver the equipment.

    Necessary electrical upgrades are being made before delivery. In some cases, if significant upgrades are needed, your equipment will be delivered first.  Our priority is to have your machine fully functional as quickly as possible.

    PHASE II: Implementation

    鶹and XEROX are in the process of finalizing the deployment of the Xerox PaperCut Secure Print driver. This phase will include the activation of equipment access badges and log in card readers.
    For more information about this will be sent out as soon as it’s available in the coming days!

    SUBJECT: URGENT COPIER UPDATE

    The Canon black-and-white copier contract officially expired June 30, 2021, at midnight.  As of June 30, all Canon black-and-white equipment is no longer accessible using badge cards for copying and scanning. Departments and schools are asked to temporarily transition their copy work to either the Canon Color printers or desktop printers. Delivery of the Xerox equipment began on July 12 and will continue in the coming days. To find when your department or campus is scheduled to receive the new equipment, please visit /Page/76400.

    In preparation for a smooth rollout, Xerox representatives will be stopping by to check power compatibility at campuses and departments. XEROX must ensure the required power sources are available to accommodate the new equipment. The Canon Color units can be identified by model numbers beginning with C, example C5051, C5255, or C5560 which can be found near the touch screen.

    To aid in the transition, departments and campuses are asked to gather leftover supplies for the Canon black-and-white copiers that are no longer in use (toner, staples, waste bottles) in one area, such as the main office, to facilitate retrieval by Canon representatives. If large volumes of printing are needed, please reach out to the Graphics Department during this time of transition.     SUBJECT: URGENT COPIER UPDATE

    SUBJECT: NOTICE OF COPIER EXPIRATIONS

    The District's current black-and-white copier fleet is due to expire June 2021. The District is preparing to implement a new LEASE TO PURCHASE contract for all black-and-white copiers. The new contract will replace the current contract and models. We will send communications to you regarding timeline, implementation, roll-out schedule and training. An email will be sent to each supervisor and admin with detailed delivery schedules. All communications will be emailed and documented on our website under DISTRICT-WIDE COPIER UPDATES.
